Summary
The Marketing Communications Operations Contractor will support the Brand Experience and Communications Creative and Content teams by removing operational and administrative burden, improving day-to-day workflow efficiency, and helping establish more sustainable, repeatable processes. This role is focused on enabling creative teams to spend more time creating by handling intake, coordination, tracking and process discipline, with a strong emphasis on hands-on execution and driving work to completion, while piloting operational approaches that can be scaled or made permanent.
Working closely with Creative, Content, and Brand Communications, and Marketing partners, this role will help bring structure, clarity and visibility to how work flows through the organization. The contractor will support project intake, prioritization, timelines and reporting across interconnected workstreams while documenting and improving processes that reduce friction, rework and unnecessary overhead.
This role serves as a practical trial for longer-term Creative/Content Operations capabilities and will contribute directly to defining what effective, scalable Ops support looks like for BE+C.
Creative + Content Operations Support
● Own and manage day-to-day operational tasks that currently sit with Creative and Content teams, including project intake coordination, tracking, status updates and follow-ups
● Serve as a central point of coordination to ensure work requests are clearly scoped, prioritized and documented before moving into development, considering downstream impacts across affected teams
● Maintain project plans, timelines, milestones and dependencies to help teams stay focused and aligned, including workback schedules that show how projects connect across teams
● Proactively identify risks, bottlenecks or gaps in information and help resolve them early
● Reduce ad-hoc requests and context-switching for creative partners by enforcing intake standards and clarifying expectations upstream
● Analyze existing workflows to identify inefficiencies, bottlenecks, or areas for improvement, and suggest standardized solutions (automation, AI, templates, etc.) to enhance productivity, agility and scalability
● Proactively understand upcoming projects and lead cross-functional status updates and working sessions
● Participate in workshops related to creative and content project management
Process + Workflow Improvement
● Own and administer Workfront as the primary workflow tool for Content and Creative work, serving as the primary point of contact for process guidance, optimization and issue resolution
·Assess existing Creative and Content workflows to identify inefficiencies, redundancies or unnecessary administrative work and help document streamlined, standardized processes (intake, prioritization, revisions, approvals, handoffs)
● Spend time embedded with both Creative and Content teams to understand real‑world constraints, and ensure improvements are practical and scalable
● Support asset and image intake processes by defining and enforcing standards that ensure production‑ready, searchable, and reusable assets
● Support toolkit development to help teams outside of BE+C articulate the brand consistently through templated approaches
● Introduce and pilot lightweight solutions—templates, automation or AI-assisted approaches—that reduce rework and administrative burden while supporting creative work
Cross-functional Coordination
● Partner closely with Creative, Content, Brand Communications and Marketing stakeholders to align priorities and expectations
● Help facilitate clear handoffs between teams by ensuring required inputs, timelines and decision points are understood
● Provide transparency into work status and capacity for key partners and leaders
● Support change adoption by helping teams understand and adjust to new processes, tools or norms
● Encourage knowledge sharing and teamwork, as well as support efforts to upskill staff and close
skill gaps
Operational Visibility + Reporting
● Maintain simple, reliable views of work in progress, upcoming deadlines and completed work
● Support basic operational reporting related to volume, cycle time, bottlenecks and resourcing pressure
● Surface patterns and insights that help leaders understand where teams are overloaded, blocked
or working inefficiently
● Contribute learnings and recommendations that inform longer-term Ops strategy for Creative
and Content teams
● Support quarterly health analyses and contribute to high-level reporting, including budget tracking and recap
Tools, Systems + Enablement
● Support effective use of existing project management, intake and collaboration tools
● Help implement basic rules, structure and governance within tools to reduce confusion and duplicate work
● Ensure data and project information are kept current, accurate and usable for decision-making
● Assist with onboarding or quick-start guidance for new or revised processes as needed
● Balance execution and systems improvement, with roughly a quarter of time focused on systems and workflow optimization and the remainder focused on driving work forward

·Comfort identifying inefficiencies and implementing process improvements
·Comfort managing timelines, dependencies, and follow‑ups without formal authority
·Able to work independently in a remote setting and manage shifting priorities
·Comfort introducing new ways of working in support of creative teams
·Experience with Workfront and Smartsheet preferred
·Broad, end-to-end creative project management experience with foundational knowledge across creative disciplines
