Work Schedule:
Monday to Friday, 8:30 AM to 4:30 PM (35-40 hours per week). Overtime is rare.
Job Description:
The Intake Specialist/Office Assistant will be responsible for receiving legal documents through various channels, including process servers, certified mail, regular mail, and couriers. The role involves sorting, batching, scanning documents, and reconciling daily document volumes to ensure all received documents are accounted for.
Key Responsibilities:
- Receive and process incoming legal documents
- Sort, batch, and scan documents using a Kodak scanner
- Reconcile and balance daily document volumes
- Ensure accurate record-keeping and reporting
- Navigate Department of State websites for document verification
Required Skills/Experience:
- Office/Team Mailroom Experience: Prior experience working in an office or mailroom environment is required.
- Customer Service: 1-3 years of customer service experience with a professional demeanor in both verbal and written communication.
- Technical Skills: Proficiency with computers is essential. Experience with Kodak scanners is a plus.
- Typing Speed: 30-40 words per minute.
- Attention to Detail: Strong attention to detail and the ability to work in a fast-paced environment.
- Team Player: Must be a collaborative team member with the ability to multitask and manage various tasks simultaneously.
Preferred Skills:
- Familiarity with Kodak Capture Pro software and scanners (models i4600 to i5600)
- Ability to lift up to 10 lbs
- Knowledge of Microsoft Office Suite (Word, Excel, Outlook)
- Strong email etiquette
- Effective written and verbal communication skills
- Experience with process improvement initiatives
